Traveler Terms & Conditions
Please take the time to read and understand the Traveler Terms & Conditions detailed below prior to booking a trip with Mindful Bee Company LLC. If you decide to book a trip with Mindful Bee Company LLC, then you will be required to confirm your agreement to these Traveler Terms & Conditions as part of the booking process.
1. Your Booking is a Contract
When you (sometimes referred to as a “traveler” or a “client”) book a trip with Mindful Bee Company LLC (sometimes referred to as “we” or “us”), you will be deemed to have agreed to these Traveler Terms & Conditions. Moreover, your booking, together with (a) these Traveler Terms & Conditions and (b) the details regarding the trip for your chosen destination as listed on our website (collectively, the “Agreement") will constitute a legally binding contract between you and us. (Note: If you book a trip for multiple people traveling together, then all travelers in that booking will be deemed to have read and agreed to the Traveler Terms & Conditions, and to be parties to this Agreement.) Participants must be 18 years or older and legally capable of entering into binding contracts. This Agreement is entered into electronically, and the parties agree that electronic signatures and electronic records shall have the same legal force and effect as handwritten signatures.
2. Deposit
In order to confirm your booking, you will be required to pay a non-refundable deposit of $500 toward the total price of your trip if you register during Early Enrollment. After Early Enrollment fills, the non-refundable deposit is $600. If your booking is made after July 10, 2026, then an additional 50% of the remaining cost is due at the time of booking.
3. Final Payment
Payment of the balance of the trip price is due by September 10, 2026. If a traveler fails to make any scheduled payment when due, Mindful Bee Company LLC reserves the right to cancel the booking and retain any non-refundable amounts previously paid.
4. Cancellation by Traveler
If you wish to cancel your booking, you may do so any time up to (and including) September 10, 2026; and in that event, we will refund all amounts paid to Mindful Bee Company LLC except for the initial $500 or $600 deposit, which is non-refundable. If you cancel your booking after September 10, 2026 (or if you fail to show up, or if you leave a trip prior to its completion for any reason), then you will not be entitled to any refund. Bookings for trips are transferable for single-occupancy rooms. Bookings for double-occupancy rooms are transferable to a same-sex occupant. All cancellations must be submitted in writing via email to be considered official. Verbal cancellations or informal messages (including text or social media) will not be accepted.
5. Cancellation by Mindful Bee Company LLC
We reserve the right to cancel the trip at any time up to (and including) September 12, 2026. In this event, the client will receive a complete refund of all monies paid to Mindful Bee Company LLC.
In addition, we reserve the right to cancel the trip at any time if, due to natural disaster, political instability or other disruptions and/or events beyond our control (“force majeure events”), the operating of the trip would be unsafe or otherwise unviable. In the event a trip is cancelled due to a force majeure event, the client will receive a refund equal to the monies paid to Mindful Bee Company LLC, less any costs incurred by Mindful Bee Company LLC which are not recoverable.
6. International Travel Conditions
You acknowledge that this trip takes place outside of the United States in Costa Rica, and you are responsible for complying with all entry requirements, travel documentation, and health requirements of the destination country. You understand that local conditions (including weather, transportation, infrastructure, and government services) may differ significantly from those in your home country, and you accept these differences as part of international travel.
7. Your Details
For us to confirm your booking, you must provide us with certain personal information, if requested by us, no later than the date on which you pay the balance of the trip price. Failure to provide requested information by the deadline may result in delay or cancellation of your booking without refund.
The precise information may vary from trip to trip, but the types of information we may require include, by way of example:
Full name
- Copy of your passport
- Dietary requests/restrictions
- Any medical conditions, injuries or physical limitations which you want us to know about and/or which may affect your ability to participate fully in some aspects of the trip.
8. What's Included in the Price of Your Trip
The price of your trip includes:
- Accommodations as listed on our website under “What’s Included.”
- Meals as listed on our website under “What’s Included.”
- Yoga instruction as described on our website under “What’s Included.”
- Those additional activities/items listed on our website under “What’s Included.”
- Group shuttle transportation between locations, as detailed on our website under "What's Included."
9. What's Not Included in the Price of Your Trip:
- Transportation to the retreat destination from your starting point.
- Airfare within the country of Costa Rica.
- Individually arranged transportation, including taxi or Uber charges, or otherwise, including car rentals.
- Excess baggage charges.
- Fees for travel documents (passports, visas, etc.).
- Travel insurance (required).
- Beverages (including soft drinks).
- Optional Activities.
- Gratuities (including for guides at Rios Lodge).
- Personal expenses.
- Any other items listed on our website under “What’s Not Included.”
10. Roommate/Shared Room
For double-occupancy accommodations, Mindful Bee Company LLC is not responsible for incompatibility between roommates, changes in roommate arrangements, or dissatisfaction arising from shared accommodations. If a roommate cancels, the remaining traveler may be responsible for any additional accommodation costs unless a replacement roommate is found.
11. Travel Insurance
Travel insurance is required for participation in this retreat. Each traveler is solely responsible for obtaining and maintaining adequate travel insurance coverage, including coverage for trip cancellation, trip interruption, medical expenses, emergency evacuation, accident, illness, personal injury, baggage loss, and other potential travel-related risks. Mindful Bee Company LLC shall not be responsible for any losses incurred due to a traveler’s failure to obtain appropriate travel insurance coverage. We strongly recommend purchasing travel insurance within fourteen (14) days of making your initial deposit in order to maximize available coverage options.
12. Optional Activities
Optional activities or excursions not specifically listed on our website as “Included” or purchased as “Add Ons” are not included in the retreat price and do not form part of this Agreement. You acknowledge and agree that any assistance provided by any trip leader, yoga instructor or local representative in arranging or transporting you to optional activities does not render us liable for them.
13. Discretion to Reject Bookings and/or to Deny Participation by Certain Clients
Mindful Bee Company LLC reserves the right, in the exercise of its discretion and judgment, to reject any client booking and/or to deny participation by any client in a trip at any time prior to the trip start date, if we believe a client poses a risk or may be disruptive to other clients or to the yoga instructor. If a client booking is rejected and/or a client is denied participation in a trip prior to the trip start date, then that client will receive a full refund of all monies paid to Mindful Bee Company LLC for that trip.
Furthermore, the yoga instructor leading a trip also has the authority, in the exercise of his/her discretion and judgment, to deny participation by any client, if the instructor believes the client’s continued participation will be disruptive to the overall trip experience, to other clients or the instructor. If a client is denied participation in a trip after the trip start date, then the client will forfeit all monies paid.
14. Retreat Code of Conduct
Mindful Bee Company LLC is committed to creating a safe, respectful, inclusive, and supportive retreat environment for all participants. By participating in this retreat, you agree to conduct yourself in a respectful and considerate manner toward fellow travelers, instructors, guides, staff, and local community members throughout the duration of the trip. Participants are expected to:
- Respect personal boundaries and differing perspectives.
- Refrain from abusive, discriminatory, aggressive, or disruptive behavior.
- Follow reasonable instructions provided by the retreat leader, instructors, guides, and local operators.
- Use good judgment with respect to alcohol consumption and personal conduct.
- Respect the accommodations, retreat spaces, transportation providers, and natural environments visited during the retreat.
Mindful Bee Company LLC reserves the right, in its sole discretion, to remove any participant from all or part of the retreat if their behavior is deemed unsafe, disruptive, inappropriate, or detrimental to the experience of others. In the event of removal from the retreat for behavioral reasons, the participant shall be responsible for all resulting expenses, including transportation and accommodations, and no refund shall be issued.
15. Itineraries
The itinerary listed for each trip represents a general plan for that trip, including the anticipated schedule of activities, accommodations, transportation, yoga instruction, and excursions. However, you acknowledge and accept that changes may occur before or during the trip due to weather, safety concerns, transportation issues, local conditions, force majeure events, or other circumstances beyond the control of Mindful Bee Company LLC.
Mindful Bee Company LLC reserves the right to make reasonable modifications to the itinerary, accommodations, transportation, activities, instructors, or schedule at any time, with or without notice, when deemed necessary or advisable for the safety, well-being, or overall experience of the group.
All yoga instruction and retreat activities will be provided in the manner determined by the retreat leader or instructor and will reflect that instructor’s individual teaching style and professional judgment. You acknowledge that flexibility is an inherent part of retreat-style travel and that reasonable itinerary changes shall not constitute grounds for refund, compensation, or cancellation.
No guarantees, representations, or warranties are made regarding the results, outcomes, or personal experiences of participation in the retreat, including emotional, physical, mental, or spiritual outcomes. You acknowledge that you are not relying on any statements, representations, or guarantees not expressly included in this Agreement.
16. Photos and Marketing
By participating in the retreat, you grant Mindful Bee Company LLC permission to use photographs, video footage, and publicly shared social media content related to the retreat for marketing and promotional purposes, including use on websites, social media, advertisements, and promotional materials, without compensation. We will make reasonable efforts to credit photographers or content creators when appropriate, but failure to provide credit shall not constitute a breach of this Agreement.
17. Immunizations and Travel Advisories/Warnings
Each traveler is solely responsible for researching and complying with all health, vaccination, entry, safety, and travel requirements applicable to the destination country(ies) and regions visited during the retreat. Travelers are also responsible for staying informed regarding travel advisories, local conditions, health risks, and safety concerns before and during travel. Mindful Bee Company LLC is not responsible for any losses, disruptions, costs, or consequences resulting from a traveler’s failure to obtain required documentation, vaccinations, medical advice, or current travel information. Travelers are encouraged to consult a qualified medical professional regarding travel-related health considerations prior to departure.
18. Health Certification and Yoga/Wellness Participation
By booking a trip with Mindful Bee Company LLC, you represent and warrant that you are physically and mentally fit to participate in the retreat and all related activities, and that you are capable of independently managing your own health, safety, and well-being throughout the duration of the trip.
You further represent that:
- You are not aware of any medical, physical, or psychological condition that would make participation unsafe for you or others;
- You are not traveling against medical advice; and
- You are solely responsible for consulting a qualified medical professional prior to participation if you have any concerns regarding your ability to safely engage in retreat activities.
You acknowledge that participation in yoga, movement practices, breathwork, and wellness activities involves physical exertion and inherent risks, including but not limited to muscle strain, falls, dizziness, aggravation of pre-existing conditions, abnormal blood pressure, cardiovascular events, or other injury. You voluntarily assume full responsibility for monitoring your own condition during all activities, and agree to modify, pause, or discontinue participation at any time if needed.
You further acknowledge and agree that retreat programming is provided for educational, recreational, and wellness purposes only, and does not constitute medical, psychological, or therapeutic advice, diagnosis, or treatment. You acknowledge that you are not relying on any statements, representations, or guarantees by Mindful Bee Company LLC, its instructors, or representatives that are not expressly set forth in this Agreement.
You acknowledge and agree that no physician–patient, therapist–client, fiduciary, or similar professional relationship is created between you and Mindful Bee Company LLC, its owners, instructors, or representatives. All information, guidance, instruction, and communication provided in connection with the retreat is for general informational, educational, and wellness purposes only, and is not intended to replace professional medical, psychological, or healthcare advice, diagnosis, or treatment.
You acknowledge and agree that Mindful Bee Company LLC, its instructors, and representatives have no obligation or duty to assess your physical or mental suitability for any activity, to monitor your participation, or to prevent you from participating in any activity. You are solely responsible for determining your fitness to participate at all times.
19. Third Party Operators
Mindful Bee Company LLC does not own, operate, control, or supervise any third-party providers of goods or services used in connection with the retreat, including but not limited to lodging providers, transportation companies, food service providers, tour operators, yoga studio spaces, hiking guides, rafting or water activity operators, or any other independent contractors or service providers (“Third-Party Operators”).
All Third-Party Operators are independent contractors and are not employees, agents, partners, or representatives of Mindful Bee Company LLC.
Any participation in services provided by Third-Party Operators, including but not limited to hiking excursions, river rafting, transportation services, or other adventure or recreational activities, is governed solely by the terms, policies, and waivers of those Third-Party Operators, and not by this Agreement.
Mindful Bee Company LLC does not control and is not responsible for the acts, omissions, safety procedures, training, judgment, or operational decisions of any Third-Party Operators. You acknowledge and agree that any recommendations, scheduling assistance, coordination, or logistical support provided by Mindful Bee Company LLC does not create any agency, supervisory, or control relationship with such Third-Party Operators.
Accordingly, to the fullest extent permitted by law, Mindful Bee Company LLC shall not be liable for any injury, loss, damage, delay, or other harm arising from or related to services provided by Third-Party Operators, including those occurring during rafting, zip-lining, hiking, transportation, or other off-site activities.
20. Assumption of Risk and Voluntary Participation
You acknowledge and agree that participation in the retreat and all related activities involves inherent, unavoidable, and unpredictable risks, including but not limited to illness, injury, disability, property loss, emotional distress, delay, inconvenience, or death. These risks may arise from your own actions or inactions, the actions or inactions of others, environmental conditions, transportation, facilities, equipment, or third-party service providers.
These risks include, without limitation, risks associated with outdoor, water-based, aerial, and adventure activities, including but not limited to rafting, swimming in natural rivers, zip lining, canopy tours, hiking on uneven or steep terrain, jungle trekking, river crossings, wildlife exposure, and other activities involving natural environments or variable weather and terrain conditions. You acknowledge that these activities may be conducted by independent third-party operators over whom Mindful Bee Company LLC has no control, and that participation in such activities is subject to the terms, conditions, and waivers of those operators.
You voluntarily assume all such risks, whether known or unknown, foreseeable or unforeseeable, and whether or not described in this Agreement.
This includes risks arising in whole or in part from the ordinary negligence (whether active or passive) of Mindful Bee Company LLC and its instructors, to the maximum extent permitted by Oregon law.
You are solely responsible for your own safety at all times and for independently evaluating your physical, mental, and emotional condition and determining whether to participate in, modify, or withdraw from any activity. You acknowledge that Mindful Bee Company LLC has no duty to monitor, supervise, assess, or intervene in your participation, and you are not relying on Mindful Bee Company LLC or its representatives to do so.
You acknowledge that participation in all activities is entirely voluntary, and that all participation decisions are made solely by you in your independent judgment.
You further acknowledge that Mindful Bee Company LLC is not a medical provider, emergency responder, or licensed wilderness, rafting, or adventure guide operator, and does not guarantee safety, supervision, rescue services, or emergency response capabilities. You understand that medical care, emergency response, and infrastructure standards may differ significantly in international locations.
You acknowledge and accept full responsibility for any consequences arising from participation, including delays in emergency response, transportation limitations, and differences in local medical systems.
You acknowledge that participation in retreat travel may involve exposure to communicable diseases, including but not limited to COVID-19 and other infectious conditions, and you voluntarily assume all associated risks.
21. Limitation of Liability and Release
To the fullest extent permitted by Oregon law, and except for liability arising from gross negligence or willful misconduct, you hereby knowingly, voluntarily, and expressly release, waive, discharge, and agree not to sue Mindful Bee Company LLC, its owners, employees, contractors, instructors, agents, and affiliates (collectively, the “Released Parties”) from any and all claims, liabilities, demands, damages, losses, or expenses of any kind, whether known or unknown, arising out of or in any way related to your participation in the retreat or related activities.
This release includes, without limitation, claims arising from ordinary negligence, negligent instruction, negligent supervision, failure to warn, failure to monitor, failure to intervene, or any alleged failure to ensure participant fitness or safety, to the maximum extent permitted by law.
You expressly acknowledge and agree that:
- You are voluntarily participating in all retreat activities at your own risk
- You are solely responsible for your own safety, decisions, and participation at all times;
- The Released Parties make no representations or guarantees regarding your safety or outcomes;
- Participation in retreat activities, including yoga, movement, breathwork, hiking, water-based activities, and excursions (including third-party rafting or similar activities), is entirely voluntary.
You further agree that the Released Parties shall not be liable for:
- Any injury, illness, death, or property damage arising from participation in the retreat or related activities;
- The acts or omissions of any third-party providers, including lodging, transportation, guides, or activity operators (including rafting or adventure excursion providers);
- Loss, theft, or damage to personal property;
- Delays, interruptions, or modifications to services or itinerary.
To the fullest extent permitted by Oregon law, the total aggregate liability of the Released Parties for any claim arising out of or related to this Agreement shall not exceed the total amount paid by you for the retreat.
You agree that any claim must be brought in your individual capacity only, and not as part of any class, collective, or representative action.
You acknowledge that you have carefully read, fully understood, and voluntarily agreed to this Limitation of Liability and Release, and that you are not relying on any statements, representations, or promises not expressly set forth in this Agreement.
22. Medical Emergency Authorization
In the event of a medical emergency, you authorize Mindful Bee Company LLC and its representatives to obtain emergency medical treatment on your behalf. All costs associated with emergency medical care, evacuation, or transportation are solely your responsibility.
23. Privacy Policy
Any personal information that we collect about you may be used for any purpose associated with the operation of a trip or to send you marketing material in relation to our events and special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the trip. By participating in the trip, you consent to receive email communications related to your booking, including important updates, logistical information and optional future retreat offerings.
24. Chargebacks and Payment Disputes
By submitting payment, the traveler agrees not to initiate any chargeback or payment dispute inconsistent with the terms of this Agreement.
In the event of a payment dispute or chargeback initiated in violation of this Agreement, the traveler agrees to reimburse Mindful Bee Company LLC for any associated costs, including administrative fees, chargeback fees, and reasonable attorneys’ fees.
25. Arbitration
Any claim or cause of action arising out of or related to this Agreement must be filed within one (1) year after the date of the incident giving rise to the claim. You agree that any dispute relating to your booking, the Traveler Terms & Conditions, the Agreement or any other issues relating to your trip (including any claim you may wish to assert relating to or arising out of your trip) shall be referred to confidential and binding arbitration in Portland, Oregon, by arbitrator(s) and pursuant to rules of arbitration subject to the mutual agreement of the parties. If the parties cannot agree on the arbitrator(s) and/or the rules of arbitration, arbitration may be compelled by petition to any court of competent jurisdiction in Multnomah County, Oregon. Any arbitration award shall be rendered in writing and may be entered and shall be fully enforceable as a judgment in any court of competent jurisdiction. The parties expressly waive their right to trial, including trial by jury. Each party shall bear its own attorneys’ fees and costs.
26. Applicable Law
This Agreement shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to conflict of law principles. This choice of law applies regardless of the traveler’s state or country of residence and regardless of where the retreat or any related activity takes place, including international locations such as Costa Rica.
27. Updating of Traveler Terms & Conditions
Mindful Bee Company LLC reserves the right to update and/or alter these Traveler Terms & Conditions at any time. Current information can be found on www.mindfulbeectravel.com and any updates and/or changes will supersede any previous versions. By booking a trip with Mindful Bee Company LLC, you acknowledge that you have read and understand the Traveler Terms & Conditions outlined above, and agree to be bound by those Traveler Terms & Conditions.
28. Severability
If any provision is found invalid or unenforceable, it shall be modified or interpreted to the maximum extent permitted by law to reflect the parties’ original intent, and all remaining provisions shall remain fully enforceable.
